If you’ve been managing Virtual Office (VO) members in Nexudus using a generic service plan or spreadsheet, there’s now an easier, cleaner way to move them into the dedicated Virtual Office module.
This migration is a one-time step that gives you all the benefits of the our VO tools, such as automated compliance checks, clearer client records, and smarter billing.
The Nexudus Virtual Office feature
The new Virtual Office system has been designed to help you manage clients more professionally and stay compliant with ID and address-verification regulations.
Migrating your existing members means:
- Each VO client has the correct data structure and permissions
- Identity-verification workflows are automatically enabled
- Billing and contracts are aligned with the right plan type
- You can issue compliant invoices (including QR codes in Switzerland and Liechtenstein)
It’s a quick process — but an important one.
How to migrate your Virtual Office clients
Step 1: Update your plan
In your Nexudus account, select the service plan currently used for Virtual Office clients. From the menu, choose “Update to Virtual Office.”
This converts your existing plan to the new VO format, applying all the right compliance and management settings.
Step 2: Review your billing details
Before migration, check your billing address and bank details.
If you’re in Switzerland or Liechtenstein, if you make sure your IBAN begins with CH or LI, Nexudus will generate compliant QR-invoices automatically.
Step 3: Let Nexudus handle the migration
Once your plan is updated, Nexudus will automatically migrate all members linked to it.
You won’t need to manually re-enter any information, Nexudus moves all records across, things like:
- Name and contact details
- Billing address and notes
- Contract and invoice history
Step 4: Schedule identity checks
You’ll be prompted to confirm how to handle ID verification for your existing VO clients.
Choose whether to:
- Request checks immediately, or
- Schedule them for a later date (for example, at their next login or renewal).
After migration
Once your clients are migrated,
- All Virtual Office members are visible in a dedicated section of your dashboard
- Identity and address-verification records are linked to each profile
- Every invoice generated from that plan will include the correct details automatically
You’ll have a single source of truth for all Virtual Office activity, which is simpler, safer, and easier to manage as your business grows. It also keeps your business compliant without disrupting clients.
