CFDI invoice stamping is now available in Nexudus

TL;DR

Running a workspace in Mexico shouldn’t mean managing your billing twice: once to issue an invoice, then again to get it stamped.

Nexudus now supports automatic invoice stamping in Mexico’s electronic invoicing format, CFDI 4.0, through its Facturapi integration. Invoices, credit notes and payment receipts can be stamped within your normal billing flow, without exporting documents for an accountant to re-enter elsewhere.

From issuing an invoice to sending the stamped documents

When you issue an invoice in Nexudus, the integration handles stamping and sends the stamped PDF and XML to your customer with their invoice email. Members can also download these documents from the Members’ Portal whenever they need them.

Credit notes and payment receipts are supported too, so payments and adjustments follow the same process.

Your invoice list shows each document’s stamping status. If stamping fails, an alert lets your team know something needs attention.

Let members enter their own billing details

Collecting the right billing information can mean another round of emails before an invoice is ready.

Members can enter their Mexican tax ID (RFC), legal name, tax regime, postal code and intended invoice use (CFDI use) directly in the current Members’ Portal.

Their details are checked with Mexico’s tax authority, the Servicio de Administración Tributaria (SAT) when saved. Your team can also enter this information on their behalf.

Include day passes and walk-in sales

For day passes and walk-in purchases where customers don’t provide an RFC, Nexudus can group the sales into a global invoice for the general public (público en general).

Choose a daily, weekly, fortnightly or monthly schedule to include these sales alongside your regular member billing.

Manage several locations

If you run several locations under the same RFC, they can share one Facturapi account, with each location using its own invoice series.

The CFDI screens are available in Spanish in Nexudus and the current Members’ Portal, using familiar SAT terminology such as timbrar, folio fiscal and complemento de pago.

Daily checks also warn administrators before a certificate or subscription expires, helping your team address issues before they interrupt billing.

What you need to get started

CFDI stamping is configured and ready to go in the new Nexudus.

You’ll need:

  • A separate Facturapi account with an API plan. You contract with Facturapi directly and pay its subscription and stamping charges.
  • Your digital seal certificate (CSD) uploaded to Facturapi and its Carta Manifiesto signed.
  • Your Facturapi API key added to the Mexican invoicing integration in Nexudus.
  • The appropriate SAT product codes and payment forms, agreed with your accountant.

Once enabled, stamping becomes part of your billing workflow. Invoices dated before you switch it on aren’t stamped automatically.
