Coworking Software Implementation: What to Expect When You Choose Nexudus

Choosing the right software for your workspace is an important decision. You need something that fits the way you operate today, but can also support you as your business grows and evolves.
The next step is going through implementation. This can feel daunting at first, but it’s really about taking what you’ve chosen and getting it set up to work for your space, your team and your members.
At Nexudus, our onboarding experience begins and ends with you and your success. It’s not just about introducing you to our product but empowering you to harness its potential to suit your unique business needs.
As a Senior Implementation Specialist, I’m here to guide you through that process, from the initial conversations through to getting your space up and running.
So, what can you expect?
Stage 1: Let’s start with what you need
Our journey starts with understanding what you’re looking for.
When you first get in touch with Nexudus, our Sales Team will want to learn a little more about your workspace, your requirements and what you’re hoping to achieve. You will fill in a demo form on our website. Your designated Account Executive will then get in touch with a ‘’project requirements form”.
You might be opening a new space, looking to move away from an existing system or simply looking for a platform that can support you as your business grows.
These initial conversations help us understand whether Nexudus could be the right fit for you and the level of support you will need.
It’s also your opportunity to ask questions. You might want to know how we handle bookings, memberships, billing or access control, or how Nexudus works alongside the other software you already use.
From the beginning, the aim is to understand what you need rather than give you a generic overview of what we do.
Stage 2: See Nexudus in action
Once we have a better understanding of your requirements, you’ll have the opportunity to see Nexudus in action through a personalised demo.
This is where we can start putting the platform into the context of your business.
You might explore how a member books a desk or meeting room, how your team manages memberships, how billing works or how access control fits into the member journey.
You can also look at CRM, analytics and reporting, as well as how Nexudus connects with the other software you already use through our integrations.
The idea isn’t to show you every feature, it’s to help you understand how the different parts of Nexudus can work together to support your space. This allows our team to really focus on the areas of Nexudus you will directly benefit from using.
Ultimately, you want to be able to answer:
“How would Nexudus work for us?”
Stage 3: You’ve decided. Now what?
If you’ve decided that Nexudus is the right fit, this is where the implementation journey begins.
Your Sales Executive will introduce you to our Implementation Team, and you’ll be connected with your Implementation Specialist.
At this point, we move from talking about what Nexudus could do for your business to understanding exactly how your business works.
This is where we’ll look in more detail at things like:
- Your workspace and the resources you offer
- Membership plans and pricing
- Billing and tax requirements
- Your members and customers
- User roles and permissions
- Access requirements
- Your existing workflows
- The other software you use and any integrations you need
You know your business. We know Nexudus. Our job is to bring those two things together as seamlessly as possible.
We’ll guide you through what’s needed and help you understand how your requirements can translate into Nexudus.
Stage 4: Let’s build your workspace
This is where your coworking software setup really starts to take shape.
The information you provide forms the foundation of your Nexudus environment. It covers the core elements you need to run your workspace, including:
Memberships, billing and products
We’ll look at your membership plans, pricing, products, billing and tax settings, making sure these reflect the way you sell your services.
Resources
Your desks, meeting rooms, offices and other bookable spaces need to be configured so that they work in the way that you are happy with.
Members, users and permissions
We’ll look at your member information as well as the roles and permissions your team needs. Not everyone needs access to the same things, so it’s important to make sure your setup reflects who does what within your organisation.
Your workflows
Depending on your requirements, this might include CRM, bookings, communications, document templates, community tools and other operational processes.
Your integrations
If you already use other software to run your business, we’ll look at how those systems fit into your setup and what needs to connect with Nexudus.

There can be a lot to think about during this stage, but you don’t need to have all the answers before you start.
This is why, for projects, we go through a phased onboarding process to make sure we identify the most important priorities upfront and assign clear deadlines.
One of the most useful things you can bring to an implementation is a clear understanding of how your business works and what you want to achieve. Your Implementation Specialist can then help you work out how that translates into Nexudus.
Stage 5: Take it for a test drive
Once your initial setup is complete, we’ll walk you through it so you can see everything working in practice.
This is an important part of the process. You’ve told us how your business works, we’ve built the setup, and now it’s your chance to make sure it all looks and feels right.
Your feedback allows us to make any necessary changes before you sign off the implementation.
Think of it as:
Set up → review → refine → sign off
It means you’re not simply handed a finished system and expected to get on with it. You have the opportunity to see your setup in action and make sure it reflects what you need before you go live.
Stage 6: Get your team up to speed
Getting your software set up is one thing. Making sure your team knows how to use it is another.
Different people across your business will use Nexudus in different ways.
Your community team might spend most of their time managing members and bookings. Your finance team may be more focused on billing. Managers and administrators may need a broader understanding of the platform.
Your training can therefore focus on the areas that are most relevant to your team, whether that’s the core platform or the integrations you’re using.
And your learning doesn’t have to stop once your initial training is complete.
