Spotting a post-pandemic shift in how people work, the group launched Espacio Flex, its flexible workspace brand, built on a simple idea: your office, minutes from home.

Rather than competing in Guatemala City’s crowded central business district, Espacio Flex locates professional workspaces on the city’s periphery. By doing so, it saves workers valuable time – up to 56 days a year, by reducing long commutes and offering high-quality offices close to where they actually live.

The Challenge

A city built around centralisation — and the opportunity to change that

Guatemala City is highly centralised: about 65% of the region’s GDP is concentrated in just four zones, causing severe traffic congestion. Hundreds of thousands of workers spend over two hours commuting each way every day.

As José Gálvez-Sobral explains:
“Looking at post-pandemic market needs and trends, we saw that corporate spaces had to evolve. We identified an opportunity to create decentralised workspaces across Guatemala City.”

To make this vision scalable, Grupo Apolo needed a management platform that could handle diverse membership types, integrate with third-party systems, and support multiple locations – all without adding operational complexity. After evaluating several options, they chose Nexudus.

Working with Nexudus

What drew Espacio Flex to Nexudus was not a single feature it was the combination of operational flexibility, product breadth and team support from the very beginning. The ability to adapt the platform to their specific product mix, integrate it with external systems and launch new membership types quickly gave the team the confidence that Nexudus could grow alongside them.

1. Full automation of the member journey

Espacio Flex has built one of the most automated member acquisition and onboarding flows in the Latin American coworking market. Leads captured through social media and digital campaigns flow directly into the Nexudus CRM.

“The bot can practically deliver the proposal itself. If the prospect confirms, they automatically receive a contract form, and once it is signed, the payment link is sent.”

2. Member self-management through the Passport app

The Nexudus Passport app is the primary interface for Espacio Flex members. Through it, they manage their memberships, purchase additional services, make room reservations and access their space. The team delivers a single onboarding session on a member’s first day and the app handles everything after that.

Feedback from members has been consistently positive. As José notes:

“We have only had to do it once with each person. It is so intuitive and easy to use that we have not received a single complaint. People just say: ‘How easy! How great!’

3. Access control and third-party integrations

Beyond the app, Espacio Flex has integrated Nexudus with access control systems, enabling automated member entry and hour tracking. Thanks to Nexudus’ open API, this was achieved without custom development.
These integrations meet international cybersecurity standards, allowing Espacio Flex to serve multinational clients as well as SMEs and freelancers.

“We have served several multinational companies that have required extensive cybersecurity certifications. Our IT team has validated that both Nexudus and all the integrations we have built meet those international standards.”

4. Data-driven decision making

As Espacio Flex has grown, the team has worked with Nexudus to build custom reports and dashboards that surface operational data in a format suited to executive decisions. Occupancy trends, product performance and site-level metrics are now accessible in real time.

“The advantage of the platform is being able to self-manage and generate custom reports that is what will allow us to keep making decisions that help us grow in the long run.”

From launch to 6 Locations in Under 18 Months

Espacio Flex is on track to double its network before completing its first 18 months of operation, with new locations opening in April, July and December 2026. When asked whether Nexudus can support that growth, José’s answer was unequivocal:

“Of course. It is very straightforward to use, and that is what is great about the platform — it allows us to evolve our products and keep growing our locations. It is very dynamic and adapts to many of our needs.”

Advice for new operators

José shared his two priorities for anyone considering entering the coworking market or scaling an existing operation:

“What we’ve built at Espacio Flex comes from truly understanding the market. That would be my main advice: study the demand and the needs of companies carefully.
The CRM has helped us a lot with that, giving us visibility to organise information, detect patterns, and make better decisions about our offering and locations.”

And a second principle, equally fundamental:
“Look very carefully at location. This is a real estate business at its core. And location is a fundamental part of it.”
